This position serves as Executive Aide to the Executive Director of Explore Minnesota, providing direct executive administrative support, office management, and external relations duties. This role works with multiple divisions within the agency and across all executive branch and legislative channels, serving as the Executive Director's Office main point of contact. This role works within short- and long-term planning with the Executive Director and must handle day-to-day details such as scheduling, travel, meeting prep, events and general office management. The position will also work with the Executive Director to ensure the growth of the agency and the success of Explore Minnesota. The position must be able to utilize project management tools and Microsoft Office programs at a high level. The position also supports the scheduling and coordination of the leadership team of the agency.
Job duties include, but are not limited to:
Able to work with minimal supervision and display independent judgment and discretion.
Provide advanced executive administrative services to the Executive Director.
Act as a first point of contact for those reaching out to the Executive Director and this office.
Work with the Executive Director's office in developing and editing PowerPoint presentations, materials, reports and other collateral as requested for internal and external audiences.
Lead administrative operations of the Executive Director's Office, manage executive administrative services.
Serve as Explore Minnesota's primary administrative point of contact with the Governor's office on behalf of the Executive Director and Leadership Team.
Coordinate and direct office services, record keeping and personnel supervision.
Coordinate meetings of the Explore Minnesota Tourism Business Councils
Monitor contracts prepared for the Executive Director's office.
Suggest improvements to improve workflow, simplify procedures and implement cost savings.
Minimum Qualifications
Two (2) years of experience performing a variety of administrative tasks, including drafting and editing correspondence; assisting with special projects; maintaining contact lists and information; researching information; preparing meeting spaces and materials; reviewing and approving special expense and out-of-state travel requests on the Executive Director's behalf; tracking and reconciling expenses
A master's degree may substitute for 18 months of experience
A bachelor's degree may substitute for one year of experience
An associate's degree may substitute for six months of experience
Communication skills are sufficient to write, prepare, and edit reports, correspondence, procedures, presentations, and other documents using proper business grammar, spelling, and punctuation with excellent attention to detail and accuracy.Knowledge of communications sufficient to fluently communicate, read, understand, and respond to a variety of communications, both internal and external
Ability to manage complex/busy schedules and calendars, including prioritizing requests and resolving scheduling conflicts that may arise on short notice.
Proficiency in Microsoft Office, including PowerPoint presentation, graphics, spreadsheet and charting applications, sufficient to collect, query and analyze data and prepare charts, reports and presentations
Customer service skills sufficient to provide prompt and accurate information to stakeholders in person, on the phone, through email and other written or electronic correspondence with politeness, respect, and interest in positive problem solving
Accounting skills sufficient to reconcile differences between invoices, receipts, and purchase orders, and assess needs based on data and events affecting the account
Experience coordinating travel activities, scheduling appointments, and processing business expenses
Preferred Qualifications
Experience in using project management software such as Asana, Monday.com, or other and project management best practices
Experience assisting a director, commissioner or similar at the state of Minnesota.
Experience working at a state, federal or local government in administrative services, or performing other administrative functions
Knowledge of the State of Minnesota's rules, policies and procedures.

Physical Requirements
Ability to monitor and record key information at legislative meetings, individual meetings, and other public events
Requires moving office items such as file folders and small office tools
Ability to travel throughout the state
The incumbent must maintain a valid driver's license and insurance OR have other reliable transportation.
