Qualifications

  • 3+ years of experience in office administration and bookkeeping
  • Proficiency with QuickBooks Online, Buildertrend, Gusto, and MS Office Suite
  • Understanding of basic accounting principles and HR processes
  • Understanding of Cost-to-Complete Accounting preferred
  • Strong communication, organization, and time-management skills
  • Self-motivated, willingness to show discretion, and able to work independently
  • Construction or remodeling industry experience preferred
  • Valid driver’s license and good driving record

Overview

Fox Home Innovations is seeking a reliable, detail-oriented Business Office Manager to support the daily operations of our growing residential remodeling company. Reporting to the CFO, this role ensures the smooth flow of accounting, HR administration, and office operations.

Key Responsibilities:

 

Accounting & Financial Support

  • Manage day-to-day bookkeeping, including A/P, A/R, reconciliations, and expense tracking
  • Work with Monthend to ensure accurate financial data is present in QuickBooks Online and Buildertrend for accurate job costing and reporting
  • Process vendor bills and receipts in a timely manner and maintain vendor records
  • Assist with Client Invoicing & contract document preparation
  • Coordinate with the CFO to support monthly and end of year closeout and internal auditing

 

HR & Administrative Support

  • Manage employee records, onboarding documentation, and time tracking in Gusto
  • Assist with Orientation for all new employees, including documentation and obtaining required needs prior to employment
  • Process Payroll biweekly and ensure all contributions & benefits are up to date
  • Assist with benefits coordination and compliance documentation
  • Maintain confidentiality and ensure company policies and records are up to date
  • Support policy implementation and assist with handbook updates
  • Work with managers to ensure all employee reviews are completed as required.
  • Employee of the Month Program & internal monthly newsletter
  • Set up & planning for internal company events
  • Assist with walk in traffic & inbound phone calls

 

Office & Operations Management

  • Maintain organized digital and physical files for projects, clients, and operations
  • Support project setup, billing, and client communication in Buildertrend
  • Coordinate vendor and subcontractor communication and documentation
  • Manage general office operations, supplies, refreshments and technology coordination
  • Track insurance certificates, licenses, and renewals
  • Asset Tracking & Fleet registration
  • Coordinate all office maintenance needs

 

Technology & Systems

  • Maintain access and login information for company software and devices
  • Ensure software (QuickBooks, Buildertrend, Gusto, etc.) is up-to-date and is communicating properly
  • Identify opportunities for efficiency through process or technology improvements

Compensation Range-

$50,000-$60,000 annual salary based on experience/qualifications
